英语电子邮件写作可以简单分为开场、主旨、行动和结尾等四个部分。

第一部分:开场(opening)

提及你写这封信的缘由及目的,并定出全文的主题,举例如下:

  • Thank you for your email on 10 August, requesting...
  • Thank you for calling me yesterday to discuss...
  • I would like to suggest that you...
  • I am delighted to give you the detail about...

第二部分:主旨(reason for writing)

具体陈述这封信的主旨,以一个段落表达一个主题为原则,看需要几个段落来陈述主旨,举例如下:

  • Attached please find the latest information on...
  • In order to achieve our sales target, we need to....

第三部分:行动(request for action)

主旨说明完后,对方应该了解你写这封信的目的及背景,接下来就是要求对方有所行动,例如回信、回电话、表达意见、缴交文件等,举例如下:

  • Could you please call me later today?
  • Please confirm that these arrangements are find with you.

第四部分:结尾(ending)

最后再以客气的口语做总结,让对方了解你的期待,举例如下:

  • I look forward to hearing from you.
  • I hope this information is helpful.
  • Please call me if you have any question.
